1.1 Account and Business Information

When you create an account or set up your business profile, we collect:

1.2 Quotes, Invoices, and Client Data

To provide our core services, we store the quotes, invoices, and client records you create — including client names, addresses, phone numbers, and email addresses. This data belongs to you and is held on your behalf.

1.3 Payment and Tax Information

We collect the payment terms, tax rates, and billing configurations you set for your business. If you connect a payment processor, that provider handles sensitive financial data directly subject to their own privacy policies. We do not store credit card or banking details.

1.4 Usage and Technical Data

We automatically collect certain information when you use EZQuotes:

• Device type, operating system, and app version
• Pages visited, features used, and actions taken within the app
• IP address and general location (country/region)
• Error logs and crash reports

1.5 Communications

If you contact our support team, we retain those communications to help resolve your issue and improve our service.

2. How We Use Your Information

We use the information we collect to:

• Provide and operate EZQuotes — creating, storing, and delivering your quotes and invoices

3. SMS Communications and CASL Compliance

EZQuotes sends SMS messages for account verification and transactional notifications. By providing your phone number and consenting during registration, you agree to receive these messages.

• Transactional SMS (e.g., login codes, quote delivery status) are sent based on your use of the service.
• Marketing SMS, if any, will only be sent with your explicit consent and will include a clear opt-out mechanism.
• You may opt out of non-essential SMS at any time by replying STOP to any message or updating your notification preferences in the app.

We comply with Canada's Anti-Spam Legislation (CASL) and applicable US regulations, including TCPA requirements where applicable.

4. Sharing Your Information

We work with trusted third-party providers to operate EZQuotes, including:

All service providers are bound by data processing agreements and may not use your data for their own purposes.

4.2 Your Team Members

Users you invite to your EZQuotes account will have access to the business data within that account based on the roles you assign.

4.3 Your Clients

When you send a quote or invoice to a client, that client receives access to the document via a secure link. They do not receive access to your account or other business data.

4.4 Legal Requirements

We may disclose your information if required by law, court order, or regulatory authority, or if we believe disclosure is necessary to protect the rights, property, or safety of EZQuotes, our users, or the public.

4.5 Business Transfers

If EZQuotes is acquired, merged, or sold, your information may be transferred as part of that transaction. We will notify you before your information becomes subject to a different privacy policy.

5. Data Retention

We retain your data for as long as your account is active or as needed to provide you with our services. If you close your account, we will delete or anonymize your personal information within 90 days, except where we are required to retain it for legal or regulatory purposes.

Client records, quotes, and invoices you have created may be retained in anonymized or aggregated form for analytics and financial reporting purposes.

6. Data Storage and Cross-Border Transfers

EZQuotes stores data on servers located in the United States (AWS infrastructure). If you are located in Canada, your data may be transferred to and processed in the United States.

We implement appropriate safeguards to protect your information in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy laws.

7. Security

We take reasonable technical and organizational measures to protect your information, including:

• Encryption of data in transit (TLS) and at rest
• Access controls and authentication requirements for our team
• Session-based authentication with automatic expiry
• Regular security monitoring and logging

No method of transmission or storage is 100% secure. We encourage you to use a strong, unique password and to contact us immediately if you suspect unauthorized access to your account.

8. AI-Assisted Features

EZQuotes uses artificial intelligence to offer features such as quote generation assistance. When you use these features, inputs you provide may be processed by an AI model to generate a response. We do not use your business data to train AI models.

Conversation history for AI sessions is retained temporarily (up to 24 hours) to support multi-turn interactions and is then deleted automatically.

9. Your Rights

Depending on your location, you may have the following rights regarding your personal information:

• Access — Request a copy of the personal information we hold about you
• Correction — Request that we correct inaccurate or incomplete information
• Deletion — Request that we delete your personal information, subject to legal retention obligations
• Withdrawal of consent — Withdraw consent for communications you have opted into (e.g., SMS marketing)
